HOW IT WORKS

One accountable lead—a clear path for everyone else

The company lead owns the setup, but that person doesn’t have to make every decision alone. Leadership, HR, IT, security, or legal advisers can contribute where needed. The important part is that one person remains accountable for moving the process forward.

ONE GUIDED COMPANY SETUP

The questions are already organized

Download the toolkit, answer the setup questions on your computer, then review and share your materials. The setup tool uses your company’s answers to generate its policy, employee lesson, and rollout instructions. The company reviews and approves the policy, then distributes materials and keeps acknowledgment records in its existing systems. Timing depends on how ready the company’s decisions are and whether specialist or technical review is needed.

  1. 1.

    Choose

Confirm approved AI tools, everyday uses, information boundaries, reviewers, and owners.

  2. 2.

    Create

Review the generated policy and confirm approval. Download the company-specific employee materials and editable master. Complete control cards separately for connected AI uses.

  3. 3.

    Launch

Follow your Employee Rollout guide. Share the Employee materials folder, review the acknowledgments employees send back, and record completion in the included tracker or your existing HR system.

  4. 4.

    Maintain

Review monthly status notes. When company rules need to change, reopen the saved setup and create a new version with a focused change notice. Monthly notes don’t automatically change company policy.

THE EMPLOYEE EXPERIENCE

A short lesson—no new AI Parameters account to manage

Employees receive a lesson built around situations they already encounter. They learn which AI tools they can use, what information to keep out, what they can handle on their own, and when to ask for help. Employees review the policy and complete the lesson and knowledge check before acknowledging through the company’s chosen process.

  1. 1.
    Learn the five decisions

A shared mental checklist for ordinary AI use.

  2. 2.
    Practice with realistic situations

Employees decide when to proceed, pause, verify, or report a problem.

  3. 3.
    Send the acknowledgment

After reading the policy, completing the assigned learning, and asking questions, employees send their response through your chosen company system. Your lead reviews and records it.

THE SHARED CHECKLIST

Five questions employees can actually remember

The framework follows the order in which people encounter AI during a normal workday. It gives employees a useful decision path instead of asking them to interpret a long policy on the fly.

  1. 1.Approved tools and uses

What can we use AI for?

  2. 2.Protected information

    What information can we share?

  3. 3.Human review

    What must a person check?

  4. 4.Controlled actions

What can a connected AI tool do?

  5. 5.Clear ownership

Who answers questions and keeps this current?
